AMN Collective Solutions Ltd (company number 16396275, registered in England and Wales) is the data controller for personal data collected through this website and in the course of providing accountancy services. We take data protection seriously, both because the law requires it and because our clients trust us with sensitive financial information.

What we collect

Through this website we collect only what you choose to give us: your name, email address, phone number and message when you use the contact form, the guided helper, or contact us by WhatsApp, phone or email. We also collect limited, non-identifying analytics data described in the cookies section below.

If you become a client we collect the information needed to provide our services, including identity documents for anti-money laundering checks, financial records, HMRC and Companies House credentials you authorise us to use, and payroll data relating to your employees.

Why we use it and our lawful basis

• To respond to your enquiry and provide a quote: legitimate interests, or steps prior to entering a contract.
• To deliver accountancy, tax and payroll services once engaged: performance of a contract.
• To meet our legal obligations, including anti-money laundering checks and record keeping: legal obligation.
• To improve this website using aggregated analytics: consent, which you can withdraw at any time.
• We do not sell personal data and we do not use it for advertising.

Who we share it with

Data is shared only where necessary to provide our services: HMRC and Companies House when filing on your behalf; our cloud accounting and practice software providers (such as Xero, QuickBooks, Sage and FreeAgent) who act as processors under contract; our website host (Netlify), which processes contact form submissions; Microsoft, which provides our analytics tool; and professional advisers or regulators where legally required. We do not transfer data outside the UK except to providers with appropriate safeguards in place.

How long we keep it

Enquiry data that does not lead to an engagement is deleted within 12 months. Client records are kept for six years after the end of the relevant tax year or accounting period, as required by HMRC and anti-money laundering regulations, and then securely destroyed.

Your rights

Under UK GDPR you have the right to access the personal data we hold about you, to have inaccuracies corrected, to request erasure where we have no lawful reason to retain it, to object to or restrict certain processing, and to data portability. To exercise any of these, email info@amncollectivesolutions.com. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

Cookies

This website uses two cookies, and neither is used for advertising.

• Consent preference (strictly necessary): remembers whether you accepted or declined analytics so we do not ask you on every page. Stored in your browser, never sent to us.
• Microsoft Clarity (analytics, requires your consent): cookies named _clck and _clsk that let us see, in aggregate, how visitors move through the site, which pages are read and where people get stuck. Clarity may record how a session interacts with the page. Form fields are masked and no payment or password data is ever captured. Microsoft's privacy statement is at privacy.microsoft.com.
